Privacy Policy

Who we are

Give a Trap® is run by Give a Trap Charitable Trust, a registered charity (registration number CC64997). In this policy "we", "us" and "our" mean the Trust.

This policy explains what personal information we collect through giveatrap.org.nz and our emails, why we collect it, who we share it with, and your rights under the Privacy Act 2020.

What we collect

We only collect what we need to get traps and donations where they are meant to go.

If you give a trap or make a donation

  • Your first and last name, email address, phone number and postal address.
  • The display name and message you choose to go with your gift. See "What is shown publicly" below.
  • If you give on someone else's behalf, the recipient's name and your gift message.
  • What you gave: the traps or amount, the group you chose, and the date.
  • Whether you would like email updates.

Payments. Card payments are handled by Stripe. Your card details go directly to Stripe and never reach us. We keep only the payment status, Stripe's reference for the payment, the amount charged and a link to Stripe's receipt.

If you register a trapping group

  • The group's name, description, region, contact person, email address, phone number, postal and delivery addresses, website and social media links, and any images you upload.
  • Login details for your account. Passwords are stored as a secure one-way hash, never as readable text.

If you are a trap supplier

  • Your business name, legal name, contact person, email addresses, phone number, postal address, GST number and bank account number.
  • The identifier for your Stripe account, which we use to pay you.

If you use the contact form

  • Your name, email address and message. These are sent to our inbox and are not stored in the website's database.

Website analytics

We use Google Analytics, loaded through Google Tag Manager, to understand how people use the site. It uses cookies to record things like the pages you visit, the device and browser you use and your approximate location. It does not tell us who you are. We do not use any other tracking or advertising tools.

How we use it

  • To process your gift, order the traps from the supplier, and deliver them to the group you chose.
  • To send you a receipt and let you know when your traps have been delivered.
  • To send you updates from the group you supported and from Give a Trap, but only if you asked for them.
  • To run the platform with trapping groups and suppliers, including paying suppliers.
  • To answer your questions.
  • To keep financial records we are required by law to keep.
  • To understand and improve how the website is used.

We do not sell your personal information, and we do not use it for anything unrelated to Give a Trap.

What is shown publicly

When you give, a short entry appears in the activity feed on our home page and on the page of the group you supported. It shows:

  • the display name you chose, or "Anonymous" if you left it blank
  • how many traps you gave and their value, or the amount you donated
  • the message you wrote, if any
  • roughly when you gave

Your full name, email address, phone number and postal address are never shown publicly.

A trapping group's profile, including the contact details the group chooses to add, is public so donors can find and support it.

Who we share it with

  • The group you supported receives your display name (or "Anon") and your message. They do not receive your email address, phone number or postal address.
  • Suppliers receive purchase orders with the traps and the group's delivery details. They do not receive any information about donors.
  • Service providers that run the platform for us, each only for their part of the work:
    • Stripe, for card payments and paying suppliers
    • Fly.io, which hosts the website and its servers in Sydney, Australia
    • MongoDB, which stores our records in Sydney, Australia
    • Amazon Web Services, which stores uploaded images and files in the United States
    • Mailgun, which delivers our emails from the United States
    • Google, for website analytics and for the address suggestions that appear as you type your address
  • Others, where the law requires it, for example to comply with a court order or a request from Inland Revenue.

Information stored overseas

Some of these providers store information outside New Zealand, including in Australia and the United States. We use providers who protect personal information to a standard comparable to New Zealand's Privacy Act.

Emails and unsubscribing

You will always receive emails about your own gift, such as your receipt and delivery confirmation.

Updates from the group you supported, and news from Give a Trap, are only sent if you ticked the box asking for them. Every update includes an unsubscribe link, and you can also email us to stop them.

How we keep it safe

  • The website uses encrypted (HTTPS) connections.
  • Passwords are stored as a secure one-way hash.
  • Card details are handled by Stripe and never touch our systems.
  • Only authorised Give a Trap administrators can see donor and supplier details.

How long we keep it

We keep donation and payment records for seven years, as required for tax purposes. Other personal information is kept only as long as it is needed for the purposes above, or until you ask us to remove it, unless we are legally required to keep it.

Your rights

You can ask us what personal information we hold about you, ask us to correct it, or ask us to delete it. Some records, such as donation receipts, must be kept for tax purposes. In those cases we will remove the details we are not required to keep.

To make a request, email admin@giveatrap.org.nz. We will respond within 20 working days.

If you are not happy with how we have handled your request or your information, you can complain to the Office of the Privacy Commissioner at privacy.org.nz.
